Why schools need professional backup solutions

What would happen if your school lost all its data tomorrow? Would you be able to recover years of lesson plans, student assessments, and administrative records, or would it bring your educational operations to a halt? Every school runs on data – student information, curriculum resources, communications, assessment records, and more. Yet data security often gets overshadowed by other pressing educational priorities.

Protecting your school’s data doesn’t require a massive IT budget or dedicated technical team. With the right strategy, tools, and planning, you can implement a backup and recovery plan that ensures educational continuity and gives you confidence in your data protection.

Understanding educational data responsibility and RPA requirements

UK schools operate under strict data protection obligations, including GDPR, the Data Protection Act 2018, and sector-specific guidance from the Department for Education. Additionally, schools enrolled in the DfE’s Risk Protection Arrangement (RPA) must meet specific cyber security requirements to maintain their cyber cover.

While Microsoft 365 Education provides excellent collaborative tools through Teams, SharePoint, and OneDrive, it operates under a shared responsibility model, and schools must ensure they meet both regulatory and RPA compliance requirements.

Microsoft’s Responsibilities:

  • Infrastructure security and availability
  • Platform-level security controls
  • Service uptime and maintenance

School Responsibilities:

  • Student and staff data protection
  • Backup and recovery planning
  • Incident response and data breach management
  • Compliance with educational data regulations
  • Meeting RPA cyber security conditions

DfE Risk Protection Arrangement (RPA) cyber cover requirements

To benefit from cyber cover under the RPA, schools must comply with four mandatory conditions:

  1. Offline backup requirements Schools must have at least three backup copies of important data on at least two separate devices, with at least one off-site. At least one backup should be held entirely offline and only connected to systems when absolutely necessary.
  2. Staff training All employees or governors with access to the school’s information technology system must undertake National Cyber Security Centre (NCSC) cyber security training annually.
  3. Police CyberAlarm registration Schools must register with Police CyberAlarm – a tool that monitors and reports suspicious cyber activity on Internet connections.
  4. Cyber response plan Schools must have a cyber response plan in place, created to DfE standards, with a template available from the DfE.

If schools fail to comply with these conditions, their RPA cyber insurance may be void and they will not be paid out.  We have heard from schools and academies where their claim has been denied as they couldn’t prove that all staff and at least one governor/trustee had completed the traiining.

Why Microsoft 365 isn’t a complete backup solution

If you don’t have professional backups beyond Microsoft 365’s built-in features, your school is one unexpected event away from potential educational disruption. Whether the threat is ransomware, accidental deletion, or a system failure, losing data can derail learning overnight.

When teachers save work to OneDrive or collaborate in SharePoint and Teams, changes sync across all connected devices. If a file is accidentally deleted or becomes corrupted, that change propagates throughout the system. Ransomware affecting local devices can encrypt files that then sync to OneDrive and SharePoint.

Limited recovery windows

Microsoft 365 Education offers version history and recycle bins, but with constraints:

  • OneDrive: 30 days in recycle bin, limited version history
  • SharePoint: 93 days in recycle bin by default, but versions can be overwritten
  • Teams: Chat and file recovery dependent on underlying SharePoint and Exchange retention
  • Limited granular recovery options for complex educational data structures

Lack of true immutability

Microsoft 365 Education platforms allow real-time modification, making them vulnerable to the same threats affecting primary systems. True backups should be immutable – protected from alteration once created.

Simple backup and recovery plans for schools

It’s easy to assume your backups are working until you get that dreaded alert: “Backup Failed – Storage Full.” Schools often outgrow their storage capacity without realising it, especially as digital learning resources expand.

To avoid data disruptions:

  • Audit your storage monthly to track how quickly you’re using space
  • Enable alerts so you’re notified before hitting limits
  • Clean up old, duplicate, or unused files regularly

Always leave 20-30% of your backup storage free. This buffer ensures there’s room for emergency backups or unexpected file growth during busy assessment periods.

Automate your backup schedule

Manual backups are unreliable in busy school environments. Staff forget during term time pressures. They get overwhelmed with teaching responsibilities. That’s why automation is essential.

Set your systems to back up:

  • Daily for critical student data and lesson plans
  • Weekly for administrative systems and archived content
  • Monthly for historical records and compliance data

Schedule backups during evenings or weekends to avoid interfering with teaching and learning activities.

Test your recovery plan

A backup plan is only as effective as its recovery capability. Many schools don’t test their backups until they’re facing a crisis, then discover their data is incomplete or corrupted.

Run termly disaster recovery drills. These help you:

  • Measure how quickly educational data can be restored
  • Identify gaps in your backup process
  • Ensure key staff members understand their roles
  • Practice recovery procedures before they’re needed urgently
  • Maintain RPA compliance by demonstrating backup functionality

Recovery time objectives (RTO) and recovery point objectives (RPO) are crucial for schools. Your RTO is how long it takes to resume educational operations, while your RPO is how much student work you can afford to lose. Define and measure both during your test runs.

RPA Compliance Note: Although not explicitly mentioned in the RPA, it is good practice to test your backups periodically. Your perfectly structured backup will be essentially useless if you cannot deploy it correctly when required.

Keep a local backup for fast access

Cloud storage is powerful, but local storage provides speed advantages. Downloading large amounts of educational content from the cloud during an outage can be time-consuming. Local backup options include external drives or network-attached storage (NAS) systems.

Benefits of local backups include:

  • Rapid recovery times for urgent educational needs
  • Secondary layer of security
  • Control over physical access to sensitive student data
  • RPA compliance support as part of the required “at least two separate devices”

Secure your drives with encryption, store them in locked facilities, and rotate them regularly to prevent hardware failure.

RPA Requirement: At least one backup should be held entirely offline and only connected to your systems when absolutely necessary. This ensures that backed-up data remains unaffected by any incident that impacts your live systems.

Educate your team

Your staff can be your strongest defence against data loss. Most data incidents happen due to human error, making training essential for educational environments.

Every staff member should know:

  • Proper procedures for saving and storing educational data
  • How to recognise phishing attempts and suspicious emails
  • Who to contact during a data emergency
  • Basic data protection principles for student information

Hold regular training sessions during staff development days. Use practical examples relevant to education. Keep simple emergency procedures accessible in staff areas.

RPA Compliance Requirement: All employees or governors with access to the school’s information technology system must undertake National Cyber Security Centre (NCSC) Cyber Security Training annually. Schools must maintain documented, auditable records of this training to evidence compliance.

Remember: well-informed staff make better decisions and protect student data more effectively.

Keep multiple backup versions

One backup is helpful. Multiple versions provide comprehensive protection. Version control protects against overwrites, corruption, and malicious attacks on educational data.

Best practices for schools:

  • Retain at least three previous versions of critical educational files
  • Use professional backup services with built-in versioning capabilities
  • Keep system snapshots before major updates or software changes
  • Maintain longer retention periods for student assessment data

This approach allows you to restore educational data to a known good state in case of problems.

Monitor and maintain your backups

Backup systems require ongoing attention, just like other school technology. Regular maintenance prevents unpleasant surprises when you need your backups most.

Establish a maintenance routine:

  • Review backup logs weekly
  • Check for failed or missed backups
  • Update backup software during school holidays
  • Replace ageing hardware according to schedule
  • Document compliance evidence for RPA auditing requirements

Designate a “data guardian” – a staff member responsible for backup oversight and reporting. This person should have protected time for these essential duties and understand RPA compliance requirements.

RPA Compliance: Schools must be able to evidence their backup arrangements and demonstrate compliance with the four cyber security conditions. Regular monitoring and documentation support this requirement.

Consider a hybrid backup strategy

Many schools benefit from combining local and cloud backup approaches. This hybrid strategy provides flexibility, redundancy, and optimised performance for educational environments.

Benefits of hybrid backup for schools:

  • Fast recovery from local sources for immediate needs
  • Off-site protection for major disasters
  • Balanced approach to different types of educational data

For example, you might use ConnectWise Cloud Backup for your Microsoft 365 environment while implementing Axcient X360 Recover for your local school systems. This comprehensive approach covers all your educational technology needs.

What to do when disaster strikes

Even with excellent backup plans, problems can still occur. Whether it’s a cyber attack, hardware failure, or accidental deletion of important student work, your response determines the impact on education.

Assess the damage

Take time to understand what’s been affected. Is it a single classroom’s work, an entire year group’s data, or school-wide systems? Quickly evaluate the scope to prioritise your recovery efforts and focus on the most critical educational needs first.

Activate your recovery plan

This is where preparation proves valuable. Follow your documented recovery procedures to restore educational data. With professional solutions like ConnectWise Cloud Backup for Microsoft 365 and Axcient X360 Recover for infrastructure, begin restoration immediately. Prioritise student-facing systems and assessment data (you may need to check with the RPA or your insurer before recovering data).

Communicate with your school community

Clear communication is vital during data incidents. Inform relevant staff about the situation, particularly senior leadership, IT coordinators, and affected teachers. Keep parents informed if student work is affected. Assign specific roles so everyone understands their responsibilities.

Document the incident

After resolving the immediate crisis, document everything that happened. What caused the problem? How long did recovery take? What worked well, and what could be improved? This analysis helps strengthen your disaster recovery strategy for the future.

Test and improve

Use the experience to refine your backup and recovery procedures. Conduct additional testing to ensure all systems work as expected. Update your disaster recovery plans based on lessons learned.

The educational case for professional backup

Protecting student achievement

Student coursework, assessments, and progress records represent months or years of educational effort. Professional backup ensures this irreplaceable data remains secure and recoverable, protecting students’ academic achievements.

Maintaining educational continuity

Schools cannot afford extended disruptions to learning. Professional backup solutions enable rapid recovery, ensuring minimal impact on teaching and student progress.

Supporting staff confidence

When teachers know their lesson plans, resources, and student data are professionally protected, they can focus on education rather than worrying about technology failures.

Regulatory compliance

UK schools must demonstrate robust data protection measures. Professional backup solutions provide the audit trails and recovery capabilities required for compliance with educational data regulations.

RPA cyber cover protection

For schools enrolled in the DfE’s Risk Protection Arrangement, meeting backup requirements is essential to maintain cyber insurance coverage. Professional backup solutions ensure compliance with RPA conditions, protecting schools from having their cyber cover voided. The cost of implementing compliant backup solutions is minimal compared to potential uninsured losses from cyber incidents.

Building educational resilience

Disaster-proofing your school’s data is an investment in educational continuity. The cost of lost educational data—measured in disrupted learning, staff time, and potential regulatory issues—far outweighs the investment in professional protection.

To ensure your school is protected:

  • Implement both cloud and infrastructure backups with ConnectWise Cloud Backup and Axcient X360 Recover
  • Automate and regularly test your recovery processes
  • Train staff on data protection practices
  • Monitor storage capacity and maintain your systems
  • Keep documentation updated and accessible

With a comprehensive backup and recovery plan, your school will be prepared for any challenge, from cyber threats to hardware failures. Don’t wait for a crisis to take action.  Educational data disasters happen without warning.

Professional backup solutions represent an investment in your school’s future and your students’ success. Your educational data supports learning excellence. Protect it professionally.
