Microsoft 365 security settings • UK small business support

Microsoft 365 security settings, backup and protection for UK small businesses and schools.

Most cyber attacks do not smash through the front door anymore. They log in, send email, change rules, steal data or delete files from cloud systems people use every day.

Black Swan Cyber Security Solutions helps businesses, schools and local organisations across Chesterfield, Derbyshire, Sheffield, South Yorkshire and North Notts secure Microsoft 365, reduce account compromise risk and put proper backup and recovery in place. If you are searching for secure Microsoft 365 UK support, we make the settings, risks and next steps easier to understand.

Security, backup and response in one plan
Microsoft 365 risk usually sits across accounts, email, permissions, cloud files and recovery. Looking at one piece on its own leaves gaps.

Useful if you already use

Microsoft 365, Exchange Online, Teams, SharePoint, OneDrive, Outlook, Entra ID, school cloud files or shared business data that would be painful to lose.

Need Microsoft 365 security and backup for schools or small businesses?

Microsoft 365 availability is not the same as backup, and default Microsoft 365 security settings are not the same as a properly secured tenant. We help protect accounts, email, Exchange, OneDrive, SharePoint and Teams data using practical security controls and dedicated Microsoft 365 backup, with options including Redstor, Axcient x360Cloud and ConnectWise Cloud Backup.

Microsoft 365 security Protect accounts, Entra ID, admin access, risky sign-ins and configuration drift.
Email protection Reduce phishing, malicious links, unsafe attachments and account compromise.
Microsoft 365 backup Recover emails, files, SharePoint, OneDrive and Teams data when something goes wrong.
Local support Practical help for Derbyshire, Chesterfield, Sheffield, schools and small businesses.

Why Microsoft 365 security matters for schools & businesses

Schools & businesses across Derbyshire, South Yorkshire and North Notts rely on Microsoft 365 every day. Email, files, Teams, SharePoint, OneDrive and user logins often sit in one place. When that setup is not properly secured, the fallout becomes downtime, fraud risk, lost access, data exposure and disruption.

Shared accounts still in use and nobody is quite sure who has access to what anymore.
MFA is turned on but risky logins, weak controls or poor admin hygiene still leave gaps.
Phishing emails are still reaching inboxes and busy staff are expected to spot every threat themselves.
Backups are assumed to be in place but have not been properly reviewed or tested.
Microsoft 365 settings are left on default even though default does not mean fully secure.
From the field

I recently opened a Microsoft 365 tenant with six Global Administrators. Four belonged to people who had left the organisation years earlier.

That is why admin access matters. It is not just a technical setting in a portal. It is one of the first places attackers look, and one of the easiest risks for organisations to forget about once someone changes role or leaves.

For schools, this also links directly to the DfE Cyber Security Standards, which expect backups to be tested and logged termly, or when there is a major change. Read the DfE cyber security standard →

What are the biggest Microsoft 365 security risks for small businesses?

For many small organisations, Microsoft 365 becomes the centre of the business. It holds email, invoices, client files, Teams chats, SharePoint documents, OneDrive folders and password reset routes. That makes it a high-value target, especially for attackers using phishing, stolen logins and business email compromise.

1. Stolen passwords and weak sign-in controls

A compromised mailbox can be used to read sensitive email, reset passwords, impersonate staff, change payment details or send convincing phishing emails from a real account. MFA helps, but it needs to be configured and monitored properly.

2. Too many admin accounts

Old Global Admin accounts, unused supplier access and over-privileged users are common in M365 small business environments. Attackers love them because one forgotten account can unlock a lot of damage.

3. Email spoofing and domain impersonation

If SPF, DKIM and DMARC are not properly configured and monitored, criminals may be able to impersonate your domain or send convincing lookalike emails to customers, staff and suppliers.

4. Default Microsoft 365 security settings

Microsoft 365 has powerful controls, but many are not fully tuned for your organisation. Risky sign-ins, mailbox forwarding, guest access, legacy authentication, sharing settings and alerting all need proper review.

5. Phishing reaching staff inboxes

Staff should not be expected to spot every attack on their own. Better email security, domain protection and awareness training reduce the pressure on people and make successful compromise less likely.

6. No separate Microsoft 365 backup

Retention is useful, but it is not the same as a dedicated backup and recovery plan. If data is deleted, changed, encrypted or lost through compromise, you need a reliable way back.

How do I make Microsoft 365 more secure for my organisation?

Start with the controls that reduce the most common risks first. You do not need enterprise complexity to secure Microsoft 365. You need sensible Microsoft 365 security settings, clear ownership and regular review.

Core Microsoft 365 security settings to review

  • Turn on MFA for all users, with stronger controls for admins
  • Remove old users, shared accounts and unnecessary Global Admin access
  • Review Conditional Access, risky sign-ins and legacy authentication
  • Check mailbox forwarding, inbox rules and suspicious sign-in activity
  • Review SharePoint, OneDrive and Teams sharing settings
  • Protect your domain with SPF, DKIM and DMARC

Practical protection to add around Microsoft 365

  • Email security to reduce phishing, malicious links and unsafe attachments
  • DMARC monitoring to protect your domain and improve email trust
  • Microsoft 365 posture monitoring to spot risky settings and drift
  • Identity threat detection to highlight account compromise and unusual behaviour
  • Microsoft 365 backup for Exchange, OneDrive, SharePoint and Teams
  • Plain-English reporting so leaders know what has changed and why
This is where Black Swan can help. We review the Microsoft 365 security settings that matter, explain the risks in plain English and help you prioritise the changes that make the biggest difference first.

Microsoft 365 backup for schools and small businesses

Microsoft 365 is reliable, but it does not remove the need for a separate backup. If email, OneDrive files, SharePoint documents or Teams data are deleted, altered, lost through sync issues or affected by account compromise, you need a clean way to recover.

Microsoft 365 and Entra ID

Redstor Microsoft 365 Backup

A strong fit where Microsoft 365 backup needs to sit alongside identity recovery and Entra ID resilience.

  • Exchange, OneDrive, SharePoint, Teams and OneNote backup
  • Useful where Entra ID recovery matters
  • Good fit for finance, insurance, schools and professional firms
Microsoft 365 and Google

Axcient x360Cloud Backup

  • Protects Microsoft 365 and Google Workspace data
  • Useful search, restore and audit capability
  • Good fit for mixed Microsoft and Google environments
Straightforward M365

ConnectWise Cloud Backup

  • Microsoft 365 backup for Exchange, OneDrive, SharePoint and Teams
  • Simple managed backup support through Black Swan
  • Good fit for schools, SMEs and local organisations
We recommend based on fit. Redstor is strong where identity recovery matters, Axcient x360Cloud is useful where Microsoft 365 and Google Workspace backup need search and audit features, and ConnectWise Cloud Backup is often the simplest route for managed Microsoft 365 backup.

Our approach: prevention, detection and recovery

Good Microsoft 365 security is not one product. It is a joined-up approach. Stop more threats getting in, spot the ones that still slip through, and make sure you can recover quickly without panic.

Prevention

Reduce the chance of compromise

  • Email security to catch more phishing and malicious emails before they land
  • Sendmarc for DMARC monitoring, domain protection and email authentication visibility
  • Octiga to review Microsoft 365 security settings and highlight configuration risks
  • Conditional Access, stronger login controls and tighter admin practices
  • Security awareness training that helps people spot suspicious activity without blame
  • Review Microsoft 365 identity settings, permissions and configuration drift
Detection

See when something is off

  • Octiga and Huntress ISPM to find risky Microsoft 365 identity settings and drift
  • Huntress ITDR to monitor account misuse, suspicious logins and identity threats
  • Huntress EDR for 24/7 managed threat detection and response on endpoints
  • Visibility that goes beyond a basic alert sitting unread in a portal
Recovery

Make sure there is a way back

  • Microsoft 365 backup to recover mail, files and data when needed
  • Server and endpoint backup where operations depend on it
  • Recovery support that helps you get working again, not just diagnose the issue

Looking for the best email security solution for a small UK business?

The best email security solution for a small UK business is usually not one product. It is a layered approach that protects the inbox, the domain, the Microsoft 365 tenant, the user account and the data behind it.

Stop more threats reaching staff

Avanan helps reduce phishing, malware, spam, malicious links and unsafe attachments before they land in the inbox.

Protect your domain and settings

Sendmarc helps with DMARC, SPF and DKIM so criminals find it harder to spoof your domain. Octiga and Huntress Managed ISPM help identify risky Microsoft 365 security settings and configuration drift.

Detect compromise and recover

Huntress ITDR helps detect suspicious account activity, while Microsoft 365 backup from Axcient, ConnectWise or Redstor gives you a recovery route if email or cloud data is deleted, altered or compromised.

Short answer:

For most small UK businesses, good email security means combining phishing protection, DMARC, Microsoft 365 security monitoring, identity threat detection and cloud backup.

How we help secure your Microsoft 365 setup

Most organisations already have bits in place. The issue is they are not always joined up, properly configured or actively monitored. We help you tighten things up, focus on what matters and put the right protection in place.

Step 1

Review your current setup

We look at Microsoft 365 accounts, access, admin roles, email exposure, backup and identity settings to highlight gaps that could lead to compromise, downtime or data loss.

Step 2

Prioritise what matters

Not everything needs fixing at once. We focus on the changes that reduce the most risk first, whether that is identity protection, phishing defence, backup or tightening access.

Step 3

Put layered protection in place

We combine prevention, detection and recovery so your organisation is better protected, easier to manage and not reliant on one control working perfectly.

What we use to help protect Microsoft 365 environments

These services support the wider Microsoft 365 security and backup picture. The right mix depends on your users, devices, sector, existing IT support and recovery needs.

Avanan email security

Helps stop phishing, malicious attachments, unsafe links and fake sender attacks before they reach the inbox. Useful when staff are being targeted through Microsoft 365 and Outlook.

Sendmarc DMARC protection

Helps protect your domain from spoofing by improving SPF, DKIM and DMARC visibility, reporting and enforcement. Useful for organisations that want better email trust.

Octiga Microsoft 365 security

Helps review Microsoft 365 security settings, spot risky configuration, highlight policy drift and make Microsoft 365 easier to secure and document.

Huntress ITDR

Helps detect suspicious Microsoft 365 activity, account compromise, malicious inbox rules and identity-based attacks.

Huntress Managed ISPM

Helps find risky Microsoft 365 identity settings, misconfigurations, MFA gaps, over-privileged accounts and configuration drift.

Microsoft 365 backup options

Redstor, Axcient x360Cloud and ConnectWise Cloud Backup help organisations recover from deletion, compromise, data loss and recovery gaps.

Educational backup services and small business data backup

Schools and small businesses need backup for more than just files. They need confidence that staff data, shared documents, Microsoft 365 content and critical systems can be recovered when something goes wrong. That might be accidental deletion, ransomware, account compromise or a system failure during term time.

For schools and MATs

  • Microsoft 365 backup for Exchange, OneDrive, SharePoint and Teams
  • Support for backup evidence and recovery confidence
  • Help aligning backup with DfE, RPA and business continuity expectations
  • Clearer restore routes when staff need data back quickly

For small businesses

For an M365 small business setup, the priority is simple: protect the accounts, protect the email, protect the data and make sure recovery is possible.

  • Microsoft 365 backup for business-critical email and files
  • Support for cyber insurance questions around backup and recovery
  • Protection against deletion, compromise and retention gaps
  • A practical recovery plan that does not rely on guesswork

We work alongside your existing IT provider

You do not need to replace your IT provider to improve Microsoft 365 security or backup. In most cases, we work alongside existing IT support to strengthen security, add visibility and reduce risk without disrupting what is already working.

How this works in practice

  • We focus on security, identity, backup and risk reduction
  • Your IT provider continues to handle day-to-day support
  • We add monitoring, protection and guidance around Microsoft 365 and access
  • We work collaboratively rather than stepping on toes

Why organisations prefer this approach

  • No need to change IT provider just to improve security
  • Clearer visibility of risks without adding internal workload
  • Specialist cyber security layered on top of existing support
  • A more joined-up approach to prevention, detection and recovery
If you do not currently have an IT provider, we can still support you directly. If you do, we fit in alongside them and focus on strengthening your Microsoft 365 security and recovery position.

Frequently asked questions

Is Microsoft 365 secure out of the box?

Microsoft 365 includes strong security features, but it still needs to be configured, reviewed and maintained properly. MFA, Conditional Access, admin roles, guest access, mailbox settings, security policies and backup can all drift over time.

Why do schools need Microsoft 365 backup?

Schools often rely on Microsoft 365 for email, Teams, OneDrive and SharePoint. If data is deleted, altered, lost through sync issues or affected by account compromise, a dedicated backup gives the school a clearer recovery route.

Which Microsoft 365 backup option is right for us?

It depends on your setup. Redstor is useful where Entra ID and identity recovery matter. Axcient x360Cloud is a strong fit where Microsoft 365 and Google Workspace backup, search and audit are needed. ConnectWise Cloud Backup is often the simplest managed Microsoft 365 backup option for SMEs and schools.

What is ConnectWise Cloud Backup for Microsoft 365?

ConnectWise Cloud Backup is a Microsoft 365 backup solution that can protect Exchange, OneDrive, SharePoint and Teams data. It helps organisations recover information that has been deleted, lost or affected by compromise.

Do small businesses need Microsoft 365 backup?

Yes, if Microsoft 365 holds important email, files or collaboration data. Microsoft provides availability and some retention features, but that is not the same as a dedicated backup and recovery plan.

Can you help with Microsoft 365 security in Derbyshire?

Yes. We support organisations across Derbyshire, Chesterfield, Sheffield, South Yorkshire, Worksop and North Notts with Microsoft 365 security, email protection, identity monitoring, backup and recovery.

What are the biggest Microsoft 365 security risks for small businesses?

The biggest risks are usually stolen passwords, weak MFA coverage, old admin accounts, phishing, malicious inbox rules, unsafe sharing settings, poor domain protection and no separate Microsoft 365 backup. These risks are common because Microsoft 365 is where email, files, identity and collaboration all meet.

How do I make Microsoft 365 more secure for my organisation?

Start by reviewing MFA, admin accounts, Conditional Access, legacy authentication, mailbox forwarding, SharePoint and OneDrive sharing, DMARC, email protection, identity monitoring and backup. The goal is not to tick every box at once. It is to reduce the risks most likely to hurt your organisation first.

Does MFA solve Microsoft 365 security on its own?

MFA is important, but it is not the whole answer. Identity threats can still involve stolen sessions, risky permissions, malicious inbox rules, mailbox manipulation and weak account hygiene around admin access.

Want a clearer view of your Microsoft 365 security and backup risks?

If you are not sure whether your Microsoft 365 setup is properly secured, monitored and recoverable, we can help you review the gaps and prioritise sensible next steps. We can check the Microsoft 365 security settings that matter most for your organisation and explain what to fix first. No drama. No jargon overload. Just practical advice for organisations that rely on Microsoft 365 every day.
