How to raise a data protection complaint

If you are concerned about how Black Swan Cyber Security Solutions has handled your personal data, you can raise a data protection complaint with us.

We will review your complaint, respond clearly, and explain what we have done or what we plan to do next.

What counts as a data protection complaint?

A data protection complaint is a concern about how we have collected, used, stored, shared, protected or responded to a request about your personal data.

This may include concerns about:

  • how we responded to a subject access request or another data rights request;
  • how your personal data has been collected or used;
  • the security of your personal data;
  • information in our privacy policy;
  • whether your personal data has been kept for longer than necessary;
  • whether your personal data has been shared appropriately.

If your complaint is about a service, invoice, support issue or another non-data protection matter, we may handle that separately under our normal business procedures.

How to make a complaint

The easiest way to raise a data protection complaint is to complete the form below.

You can also contact us using the details below:

If you contact us through social media, we may ask you to move the conversation to email or another more suitable contact method. Social media is not always appropriate for discussing personal data.

What to include

To help us review your complaint properly, please include:

  • your name and contact details;
  • what your complaint is about;
  • what personal data you believe is involved;
  • when the issue happened;
  • copies of any relevant messages, documents or evidence;
  • what you would like us to do.

If you are complaining on behalf of someone else, we may need evidence that you have authority to act for them before we can discuss their personal data with you.

What happens next?

1. We acknowledge your complaint

We will acknowledge your data protection complaint within 30 calendar days of receiving it.

2. We review the issue

We will look into the complaint, gather relevant information, and may contact you if we need more details.

3. We keep you updated

If the complaint is more complex, we will keep you informed while we review it.

4. We explain the outcome

Once we have completed our review, we will explain our decision, the reasons for it, and any action we have taken or plan to take.

If you are still unhappy

We would always prefer the chance to put things right first. If you are unhappy with our response, you have the right to complain to the Information Commissioner’s Office.
