Cyber Security for Nurseries | Data Protection & Safeguarding Support

Why cyber security matters for nurseries

Safeguarding your data, systems and reputation

Running a nursery means handling some of the most sensitive information imaginable – children’s details, family contacts, medical notes, staff records and payment information. Most of it now lives in the cloud, shared across emails, apps and management systems.

And while Ofsted doesn’t publish a checklist for “cyber security,” your duty to safeguard children under the Early Years Foundation Stage (EYFS) includes protecting that information from loss, misuse or attack. In practice, that means taking cyber security seriously – not because it’s a box to tick, but because it’s part of keeping children safe.

What Ofsted expects

Inspectors look at leadership, safeguarding and how well a nursery manages risk.

If your system is hacked, if data is lost, or if staff can’t access records because of ransomware, that’s a safeguarding issue.

The UK Council for Internet Safety (UKCIS) and NCSC both advise early years settings to:

  • Use secure passwords and avoid sharing them

  • Keep devices and apps updated

  • Back up important information

  • Limit who can access children’s data

  • Train staff to spot suspicious emails and messages

These steps show inspectors that you take digital safety seriously – the same way you’d secure your doors or manage visitor access.

The real risks nurseries face

  • Phishing emails pretending to be from parents or local authorities

  • Ransomware that locks management software and wipes records

  • Lost or stolen devices with unencrypted data

  • Weak passwords or shared logins

  • Outdated apps that leak personal details

A single incident can cause chaos: loss of trust, temporary closure, ICO reports and huge stress for staff and parents alike.

Simple, affordable protection

Cyber security doesn’t have to be complicated.
At Black Swan Cyber Security Solutions, we help nurseries put calm, practical protection in place – the kind that fits your budget and your day-to-day reality.

Typical safeguards include:

  • Secure email and password management

  • Multi-factor authentication (MFA)

  • Cloud backup and recovery

  • Managed antivirus and ransomware protection

  • Regular updates and patching

  • Staff awareness training

  • Incident response and recovery planning

Everything is built around the same goal: keeping your setting running smoothly and maintaining parent trust.
