3 Compliance-Driven Reasons Schools Must Back Up Microsoft 365

Schools rely on Microsoft 365 for staff email, Teams lessons and meetings, SharePoint files and OneDrive storage. It’s flexible and familiar, but relying on the cloud without a dedicated backup plan introduces compliance risks and leaves your school exposed if data goes missing or is maliciously destroyed.

Here are three compliance-focused reasons schools must back up Microsoft 365 – rooted in Department for Education (DfE) standards and Risk Protection Arrangement (RPA) expectations.

1. School standards now specifically require backup planning

The DfE’s Digital and Technology Standards for schools and colleges now include backup planning as a formal cyber security requirement.

The updated guidance states that schools should “develop and implement a plan to back up your data and review this every year”. This replaces older phrasing about having multiple copies of critical data, emphasising that backup planning itself must be documented, tested and reviewed as part of your cyber risk programme.

For many schools, that means acknowledging that Microsoft doesn’t automatically safeguard everything forever – and that a third-party backup service for Microsoft 365 is not a “nice-to-have”, but part of meeting your documented standards.

Without a formal backup plan in place that covers cloud services like Microsoft 365, your school won’t be able to demonstrate alignment with the DfE’s requirement – a risk when inspectors or governors ask to see evidence.

2. RPA cyber cover makes backups mandatory

If your school participates in the Risk Protection Arrangement (RPA), its cyber coverage includes conditions around backup arrangements.

RPA guidance emphasises that schools should keep multiple backups and logically separate them so that if one copy is compromised, for example in a ransomware attack, another can be recovered. It also highlights the ‘3-2-1 rule’: three copies of data, on at least two different media, with one copy offsite.

That requirement is more than a best practice suggestion. Meeting it helps ensure that RPA will cover you when things go wrong. Without a proper Microsoft 365 backup strategy, you risk undermining your ability to make a valid claim after a cyber incident.

Backing up Microsoft 365 isn’t just about supportability or convenience, it’s about protecting your position under public sector risk arrangements.

3. Data protection obligations still apply to cloud data

Many school leaders assume that data stored in Microsoft 365 is “automatically safe” because it’s in the cloud. The reality is different. Own-cloud providers, including Microsoft, limit how long they retain deleted or overwritten data. For example, once a file is permanently removed from OneDrive or a SharePoint recycle bin, it can be irretrievable without third-party backups.

From a compliance perspective:

  • The General Data Protection Regulation (GDPR) still applies to all pupil and staff personal data, wherever it is stored.

  • DfE standards for cyber security and cloud solutions explicitly require backup and recovery planning as part of protecting digital assets.

  • Your incident response and continuity planning must include how data will be restored if lost and you can’t meet that requirement without an effective backup arrangement.

Not meeting these expectations could have real consequences if sensitive data was lost and you could not demonstrate adequate protection or recovery planning.

What this means for your school

Backing up Microsoft 365 isn’t just about technology – it satisfies explicit policy duties and reduces risk on multiple fronts:

  • DfE compliance: Audit-ready evidence that backups are planned, performed and reviewed.

  • RPA validation: Support for cyber cover claims by fulfilling backup conditions.

  • Data protection: Practical controls that protect sensitive information and support recovery after incidents.

Schools should treat Microsoft 365 backups as part of their core cyber security strategy, not an optional add-on. A reliable backup solution gives peace of mind that data can be restored quickly after mistakes, outages or targeted attacks and that your school’s compliance posture is stronger for it.

If your school needs a trusted backup solution for Microsoft 365, staff devices or server data, we can help you put the right protections in place and keep them running smoothly.  Get in touch using the form below:
